Privacy Policy

This policy covers Hermes Email Manager, a personal Gmail workflow operated by Kent Huang, and this informational website.

1. Scope and information accessed

The tool uses Google OAuth to access the authorized Gmail account. Depending on granted permissions and the requested task, it may access message headers (including sender, recipients, subject, and dates), labels, message text, and attachment content when needed. OAuth credentials support that access and are not intended for publication on this website.

2. Purpose of processing

Gmail information is used to support inbox review, classification, summarization, follow-up tracking, and reply drafting. Any mailbox-changing functionality is governed by the account owner’s authorization and the workflow configuration.

3. AI and other service providers

Relevant message content and task context may be sent to AI providers selected in the operator’s configuration to perform requested tasks. Summaries and results may also be sent to configured communication services, such as Slack. Processing is not necessarily limited to the local device. The providers in use may change with configuration; contact the operator for the current services and their applicable data-handling terms before authorizing access.

This policy does not promise that external providers retain no data or exclude all submitted data from model training. Those conditions depend on the service and account settings and must be checked before sending sensitive information.

4. Storage and retention

Credentials, cached data, summaries, drafts, and execution or conversation records may be stored in the operator’s environment and by configured services. No fixed automatic deletion period is represented here. Records may remain until manually removed or until the relevant service’s retention rules apply. Revoking Google access does not automatically delete previously generated records or provider-held copies.

5. Revocation and deletion

The account owner can review and revoke the tool’s access through Google Account third-party connections. For questions about stored records or to request deletion, contact kentwelcome@gmail.com. Requests involving external service records are subject to those services’ available controls and retention requirements; no immediate or universal deletion guarantee is made.

6. This website

The published site has no application login, forms, analytics scripts, tracking cookies, or third-party font embeds. It is hosted using GitHub Pages. The hosting provider may process technical request information, including IP addresses, for delivery and security under the GitHub Privacy Statement. Emailing the contact address sends your message through your and the recipient’s email services.

7. Security and changes

No system can guarantee absolute security. Do not submit tokens, passwords, or private email contents through public repository issues. Material changes to these practices should be reflected on this page before new processing is introduced.
